Refund & Cancellation Policy

1. General Policy
SMARTCODE LLC is committed to client satisfaction. This Refund and Cancellation Policy outlines the terms under which refunds may be issued for our consulting and digital services.
2. Project-Based Services
Before Work Begins
- Full refund available if you cancel before project commencement
- Cancellation must be submitted in writing
- Refund processed within 10 business days
After Work Begins
- Refunds calculated based on work completed
- Client charged for hours worked or milestones completed
- Remaining balance refunded within 14 business days
- All deliverables completed to date become property of client
After Project Completion
- No refunds once final deliverables are provided and accepted
- Warranty support available for 30 days post-delivery
3. Subscription Services (Monthly/Annual)
Monthly Subscriptions
- Cancel anytime with 30 days' notice
- No refund for current billing period
- Service continues until end of paid period
- No cancellation fees
Annual Subscriptions
- 7-day money-back guarantee from purchase date
- After 7 days: prorated refund available for first 60 days
- After 60 days: no refunds, but service continues until end of term
- Early termination fee may apply after 60 days (20% of remaining balance)
4. Consulting Services
- Hourly consulting: Billed for time spent, no refunds for completed hours
- Retainer packages: Unused hours may be refunded on a prorated basis
- Strategy sessions: Full refund if canceled 48 hours before scheduled time
- No-show appointments: No refund, full fee charged
5. Service Packages
- Startup/Growth packages: Refund available for unused components
- Bundled services: Partial refunds based on services not yet delivered
- Package must be canceled within 14 days of purchase for full refund
6. Non-Refundable Items
The following are non-refundable:
- Third-party software licenses or tools purchased on your behalf
- Domain registrations and hosting fees
- Payment processing fees
- Completed consulting hours or strategy sessions
- Custom research or reports already delivered
7. Refund Request Process
To request a refund:
- Submit a written request to [email protected]
- Include your name, service details, and reason for refund
- We will review your request within 5 business days
- Approved refunds processed within 10-14 business days
- Refunds issued to original payment method
8. Cancellation by SMARTCODE LLC
We reserve the right to cancel services if:
- Client violates terms of service
- Client fails to pay invoices
- Client provides false or misleading information
- Services become technically or legally unfeasible
In such cases, refunds will be prorated based on work completed.
9. Satisfaction Guarantee
We stand behind the quality of our work. If you're not satisfied with deliverables, we will:
- Work with you to address concerns
- Provide revisions within scope of original agreement
- Offer alternative solutions when possible
Satisfaction guarantee does not automatically entitle you to a refund but demonstrates our commitment to resolving issues.
10. Disputes
If you dispute a charge or refund decision, please contact us directly first. We're committed to resolving issues fairly and promptly. Chargebacks should be a last resort, as they may result in account suspension.
11. Policy Changes
We may update this policy from time to time. Changes will be effective immediately upon posting. Current clients will be notified of significant changes via email.
